# Store documents in the Vault

> Keep the documents investors ask for in one place, ready to attach to a report.

The Vault is where a company keeps the documents that come up repeatedly:
incorporation papers, cap tables, tax filings, signed contracts. Uploading them
once means that when a report or a data room needs one, you attach it rather
than hunt for it.

Documents in the Vault are private until you attach them to something. Uploading
does not share anything.

## Upload a document

<Steps>
  <Step title="Open the Vault and press Upload">
    <Frame caption="Upload is at the top right of the Vault.">
      <img src="https://mintcdn.com/vein/7QlBMDMiW_wcqW8D/images/guides/vault-1-upload.png?fit=max&auto=format&n=7QlBMDMiW_wcqW8D&q=85&s=6bc4693df1818e3c6f9a83d6bd00b2d1" alt="The Vein Vault page with the Upload button highlighted" width="2880" height="1800" data-path="images/guides/vault-1-upload.png" />
    </Frame>
  </Step>

  <Step title="Choose the file">
    Click the drop zone or drag the file onto it. The Vault accepts PDF, DOCX,
    XLSX, and images up to 50 MB each.

    <Frame caption="The upload dialog takes one file at a time.">
      <img src="https://mintcdn.com/vein/7QlBMDMiW_wcqW8D/images/guides/vault-2-form.png?fit=max&auto=format&n=7QlBMDMiW_wcqW8D&q=85&s=832c9af2db032c7cda7d3ecb4461f990" alt="The Vein Upload Document dialog, showing the drag and drop area and accepted file types" width="2880" height="1800" data-path="images/guides/vault-2-form.png" />
    </Frame>
  </Step>

  <Step title="Name it and categorise it">
    Give the document a display name and pick its category. The name is what
    everyone else sees, so write it for the reader; "2025 Form 1120" beats
    "scan\_final\_v3".
  </Step>
</Steps>

## The four categories

| Category                   | Typically holds                                             |
| -------------------------- | ----------------------------------------------------------- |
| Corporate Governance | Incorporation documents, board consents, cap table |
| Financials & Tax | Tax filings, audited statements, payroll summaries |
| Intellectual Property | Patents, trademarks, assignment agreements |
| Legal & Material Contracts | Customer and vendor agreements, leases, financing documents |

<Tip>
  Categorise as you upload rather than later. Investors browsing a data room see
  documents grouped by category, and an uncategorised pile is the fastest way to
  make a well-run company look disorganised.
</Tip>

## Using a document in a report

Once a document is in the Vault it can be added to a report through the
Documents block, which lists the files you choose along with their category. See
[Build and send a report](/guides/build-and-send-a-report) for where that block
fits.

Attaching a document to a report shares it with that report's recipients. It
does not share the rest of your Vault, and removing a document later does not
retract reports already sent.
